Executive Assistant

As an Executive Assistant, you will work directly with RigCallOut’s CEO. The primary responsibility of this role will be to ensure smooth and efficient administrative support to the CEO. Responsibilities will be broad in nature, ranging from coordinating special projects, arranging meetings/conferences through to preparing presentations. It is an exciting opportunity for someone who is self-motivated and comfortable using technology and operating at senior levels within an organization.

Your Personality


We are seeking someone who will be creative and enjoy working within an environment that is mission-driven, results-driven and team-oriented. You will have a strong ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative skills, organizational skills, and the ability to maintain a realistic balance among multiple priorities. You will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with appropriate discretion.  


Your Role


  • Plan, schedule, and arrange business meetings and travel itineraries; prepare and reconcile expense accounts.

  • Prioritize conflicting needs; handle matters expeditiously; proactively engage on and see projects through to successful completion within strict deadlines.

  • Prepare & proofread communications such as organization announcements and newsletters.

  • Prepare presentations, reports, spreadsheets, meeting minutes and other business information.

  • Prepare, evaluate, and edit incoming and outgoing communications for the CEO.

  • Understand key cross-functional concepts that impact the organization, being aware of business priorities and organizational dynamics.

  • React open-mindedly to new perspectives or ideas. Think outside of the box!

  • Resolve day-to-day issues related to strategy implementation. Escalate issues that impact the client and/or strategic initiatives.

  • Keep organization charts, seating, etc. up to date.

  • Plan employee lunch and learns, training, etc.

  • Direct business contacts to appropriate managers.

  • Coordinate onsite and offsite business meetings and events.

  • Manage conference/meeting rooms and common office areas.

  • Provide exceptional service and delivery at all times.

  • An understanding of the Oil & Gas industry is preferred.


Your Qualifications

  • BA/BS degree or equivalent business experience. 

  • 5+ years of administrative experience with senior leaders & executives. 

  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms.

  • Highly motivated, confident, and able to work autonomously.

  • Ability to actively listen, hear and understand what is said and not said.

  • Ability to perform under pressure and against tight deadlines. 

  • Experience interfacing with senior management and high-profile external contacts. 

  • Strong verbal and written communication skills, and a proven ability to draft clear and concise communications.

  • Ability to maintain a high level of integrity and confidentiality.

  • Strong oral and written communication skills.

  • Experience proactively identifying and removing obstacles or barriers on behalf of the team.

  • Influence and energize others toward the common vision and goal.
